Privacy Policy

Effective June 20, 2026 · Version Beta 1.0 (interim)

This is an interim policy covering TrackLife's beta (TestFlight) period. It reflects our actual data practices as of the effective date. A final version will be reviewed by counsel before TrackLife charges any customer. Questions: privacy@tracklife.run.

TrackLife ("TrackLife", "we", "us", or "our") provides a team-management application for track & field clubs and teams, available on the web and as an iOS app. This policy explains what information we collect, how we use it, who we share it with, and your choices.

Who controls the data

TrackLife is used by clubs and teams ("Clubs"). A Club decides what information to enter about its athletes and members. For that information, the Club is the controller and TrackLife acts as a service provider (processor) that handles the data on the Club's behalf and under its instructions. For account and billing information you give us directly, TrackLife is the controller.

Information we collect

We do not request precise background location, contacts, or advertising identifiers.

How we use information

We do not sell your data, and we do not use Club data to train third-party AI models.

Who we share information with (sub-processors)

We use a limited set of trusted service providers to run TrackLife. They process data only to provide their service to us:

ProviderPurpose
DigitalOceanApplication hosting
Cloudflare R2Media/photo storage
AnthropicAI features (Press Box / bio generation)
PostmarkTransactional email
Google / AppleSign-in (OAuth)
Visual CrossingWeather / geocoding
StripeBilling (when applicable)

We may also disclose information if required by law or to protect the rights and safety of users and the public.

Children's privacy (COPPA)

TrackLife is designed for use by Clubs that may manage minors' information. A Club must obtain verifiable parental consent before entering any minor's information into TrackLife. TrackLife provides tooling to support the Club's consent process and acts as a service provider to the Club. We do not knowingly collect personal information directly from children without the Club's parental-consent process.

Parents and guardians may review, correct, or request deletion of their child's information by contacting their Club, or by emailing privacy@tracklife.run and we will route the request to the appropriate Club. For school-affiliated Clubs, we handle student information consistent with a "school official" / processor role under FERPA, acting under the school's direction.

Data retention and deletion

We retain Club data while the Club's account is active. If a Club cancels, we provide a 30-day window to export data, after which the data is deleted. Consent withdrawals and deletion requests are honored promptly.

Your choices and rights

Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA/CPRA). To exercise them, email privacy@tracklife.run.

Security

We use industry-standard measures to protect information in transit and at rest. No method of transmission or storage is 100% secure, but we work to protect your data and to notify affected users and Clubs of material incidents as required by law.

Changes to this policy

We may update this interim policy as the beta evolves and will revise the "Effective date" above. Material changes will be communicated to Club account owners.
